This policy explains what personal information LegalHelpzyn collects through this website and the client portal, why, and what we do with it. It sits alongside — and does not replace — the professional duty of confidentiality an advocate owes a client.

What we collect

  • When you make an enquiry: your name, contact details, and whatever you choose to tell us about your matter.
  • When you register for the client portal: your name, email address, mobile number, and a password, which is stored only as a cryptographic hash and is never readable by us.
  • When you use the portal: the documents you upload, and a record of uploads and downloads on your account, including when they happened.
  • Automatically: standard server logs, which include IP address and browser type.

Why we hold it

To respond to your enquiry, to carry out the work you have instructed us to do, to meet obligations the law places on us, and to keep the records a legal practice is required to keep.

How your documents are held

Documents uploaded to the client portal are stored outside the public area of the website and are not reachable by any web address. They can only be retrieved through an authenticated request that is checked against the account they belong to. Access within the firm is limited by role: staff whose work does not involve client matters cannot open client documents at all.

Who we share it with

We do not sell personal information and we do not share it for marketing. Information is disclosed outside the firm only where it is necessary to conduct your matter — for example to counsel, a court, or a government authority — or where the law requires it.

How long we keep it

Matter files are retained for the period a legal practice is expected to retain them, after which they are securely disposed of. Enquiries that do not become matters are kept only as long as they are useful for follow-up. [FIRM TO CONFIRM ITS RETENTION PERIOD.]

Your choices

You can ask what we hold about you, ask us to correct it, or close your portal account. Some information must be retained even after an account is closed, where professional or statutory obligations require it.
